Assets: overview, list and views

What an asset is, its statuses, and how to find assets on the Assets page and in views.

Updated 10 October 2026 · 2 min read

An asset is something you sold or installed at a customer, such as a printer, an air conditioner or a solar panel. You record each one with its serial number, warranty and location, so your team can look after it.

For example, your company sells and repairs office printers. A customer calls: "Our printer is broken." You open their asset and see the model, when it was installed, and that the warranty ended last month. You tell the customer what the repair will cost before you send anyone.

Before you start

  • Your company can switch Assets off. If you don't see Assets in the sidebar, ask your admin to switch it on in Settings > Module Customization.
  • To see assets, you need the View Assets permission. If you don't have it, ask your admin.
  • How many assets you can have depends on your plan: 100 on Free, 2,000 on Starter, 20,000 on Professional, and no limit on Enterprise. See Plans and limits.

Statuses

StatusMeaning
ActiveIn use. New assets start here
InactiveNot in use
Warranty ExpiredThe warranty has ended. Salesfresh sets this for you within an hour of the warranty end date, for Active assets
Replaced, Lost, Damaged or ReturnedYou set these yourself

You change the status on the asset's page. If you extend the warranty, the asset doesn't go back to Active on its own. Change it yourself. See The asset detail page.

The Assets page

Click Assets in the sidebar. Each row shows the asset's serial number, model, product, customer, purchase date, status, location and owner.

  • Click a status above the table to see only those assets.
  • Turn on Created by Me to see only the assets you added.
  • Click an asset's serial number to open it.

From the ⋮ on a row, you can Edit, Clone or Delete the asset.

Views

A view is a ready-made list. Pick one to see the assets you need. For example, open Warranty Expiring Soon each month to offer customers an extended warranty.
