You can delete records you no longer need. If you delete a lead or an account by mistake, you can bring it back for 30 days.
For example, a teammate deletes the wrong lead. You open Leads, turn on Deleted, find the lead and click Restore. It comes back with its comments, files and activities, as if nothing happened.
Before you start
- To delete a record, you need the delete permission for that kind of record, such as Delete Leads.
- For leads, contacts, accounts, deals, quotes and tasks, you must also be the record's owner, or the person who created it. For calls, you must be the person who created it.
- The record must not be locked.
- To restore a lead or account, you need Edit Leads or Edit Accounts. You must also have the delete permission, or be the record's owner or the person who created it.
If you don't have a permission you need, ask your admin.
Delete a record
Open the record, or find it in the list. Click ⋮, then Delete, and confirm.
You can't delete:
- a locked record,
- a converted lead,
- a meeting that is completed, cancelled or missed.
Deleting an account also deletes its contacts, deals, quotes and contracts. You can't delete an account with won deals, active contracts or child accounts. See Delete and restore an account.
Can you bring it back?
| Record | After you delete it |
|---|---|
| Leads and accounts | You can restore them for 30 days |
| Contacts | If you add a new contact with the same email, Salesfresh offers to restore the old one |
| Deals, quotes and contracts | They come back if you restore the account they belong to |
| Tasks, meetings, calls, subscriptions and assets | You can't bring them back |
Restore a lead or account
- Open Leads or Accounts, and turn on Deleted. The list shows deleted records, with how many days are left to restore each one.
- Click ⋮ on the record, then Restore, and confirm.
You can also open the deleted record and click Restore Lead or Restore Account.
A restored lead comes back with its comments, files and activities. A restored account also brings back the contacts, deals, quotes and contracts that were deleted with it.
After 30 days, a deleted lead or account is erased for good.
Delete a lead or account for good
To erase a deleted lead or account now, instead of waiting 30 days, turn on Deleted, click ⋮ on the record, then Delete Permanently. This can't be undone.
To do this, you need both the edit and delete permissions, such as Edit Leads and Delete Leads.
Troubleshooting
| You see | Why | What to do |
|---|---|---|
| Delete is missing | The record is locked, or you don't own it and didn't create it, or you don't have the delete permission | Ask the owner, or ask your admin for the permission |
| "This lead was deleted more than … days ago and can no longer be restored." | The time to restore it has passed | Add the record again |
| "Permanently deleting a lead needs the Delete Leads permission." | You don't have the Delete Leads permission | Ask your admin for the permission |
| "Access denied" when you click Restore | You don't have the edit permission | Ask your admin for the permission |
