Delete and restore an account

What is deleted along with an account, what stops an account being deleted, and how to restore it from the recycle bin before it is erased.

Updated 9 October 2026 · 4 min read

When you no longer need a company in Salesfresh, you can delete its account. Deleting an account also deletes the records that belong to it, such as its contacts and deals. If you delete one by mistake, you can bring it all back from the recycle bin, until your company's retention period ends.

For example, you have two accounts with similar names, and you delete the wrong one. The next day, a teammate asks where the client went. Turn on Deleted on the accounts list, find the account and click Restore. It comes back with its contacts, deals, quotes and contracts, just as it was.

Tip

Before you confirm a delete, read the numbers in the Delete window. They tell you how many contacts and deals will be deleted too.

Before you start

  • To delete an account, you need the Delete Accounts permission, and you must be the account's owner or the person who created it.
  • You can't delete a locked account. Unlock it first.

What stops an account being deleted

Salesfresh won't delete an account that has any of these:

What it hasWhyWhat to do
A won dealA won deal is the record of a sale, so it must be keptKeep the account
An active contractAn active contract is a signed agreementKeep the account, or sort out the contract first
Child accountsThey would be left without a parentDelete the child accounts first, or give them a different parent

Delete an account

  1. Open the ⋮ menu on the account's page, or the menu at the start of its row on the list. Click Delete.
  2. The Delete window opens. It names the account and lists the contacts and deals that will be deleted with it. Check them.
  3. Click Delete.

The Delete window for an account, listing under Deleted along with it the number of contacts and deals, and noting that quotes, contracts and addresses go too

The recycle bin

To see deleted accounts, turn on Deleted on the accounts list.

  • The Deleted At column shows how many days you have left to restore each one. When the days run out, it shows "No longer restorable".
  • You can still open a deleted account's page. A banner explains what was deleted with it, and has a Restore Account button. You can't change anything on the page until you restore it.

Restore an account

  1. Turn on Deleted on the accounts list, or open the deleted account's page.
  2. Click Restore in the row menu, or Restore Account on the banner.
  3. Confirm. The account comes back "along with the contacts, deals, quotes and contracts that were deleted with it."

Only the records deleted together with the account come back. If you deleted a contact or deal on its own before that, it stays deleted.

To restore an account, you need the Edit Accounts permission, and you must be the account's owner or the person who created it. If you have Delete Accounts, you can restore any account.

Delete an account for good

In the recycle bin, Delete Permanently deletes the account and everything deleted with it straight away. You need the Delete Accounts permission.

Caution

You can't undo this. The account, its contacts, deals, quotes and contracts are gone for good.

Accounts left in the recycle bin are deleted for good automatically when the retention period ends.
